Customers request bingo cards by week/month etc. A “letter” is enclosed with their bingo cards thanking them for their patronage and if card is not received in time to return specifying next date. (Word/Lisa Letters/Direct Sales Letter). Letter is changed with correct month. (SAMPLE A)

Attach any backup if necessary. (Packing slips, purchase orders, receipts.) Backup will be found in brown accordion on floor. Process checks. (Daily/Weekly. Dependent on mail, and time of month.). Checks are processed before due date/and when signing officers are available. See check processing.

Sort in bucket. (Daily/Bi-weekly). Mail is opened. Cards enclosed are counted and verified against enclosed invoice. Sales lines are calculated. Check or money order is noted on form. Monthly sales are then recorded by outlet/by game. (See Bingo Processing).

City Outlet Mail-ins

  1. Checks are opened.
  2. Mail-in Invoices are recorded by store manually on a sheet. (Sheet by store and back up invoices found in top right hand corner of Lisa’s desk.) Invoice numbers are recorded against game number.
  3. When payment is matched, a “P” is marked on sheet in red pen.
  4. The invoice is found and paper clipped to check.
  5. Go to excel/2004-2005 Country Sales/City Deposits (Under Bingo Processing Item 6).
  6. Record information as titles note. Amounts will post to proper G/L’s.
  7. Print. To be used to enter to Simply Accounting.
  8. City Outlets: Driver picks up cash. See driver’s duties.

Sorted and put in Presidents or Secretaries folder.

  • Service request letters.
  • Organizations requesting funds. EG: Cancer Care, Lupus, MS etc.
  • Thank you notes.

Bingo card are printed and sorted at least 2 weeks before the cards are scheduled for delivery. More details to come.

[edit] City Card Delivery

Cards delivered to City outlets are delivered 4 games at a time. To decide which games are delivered on each day, refer to the calendar to see the game number of the upcoming game. The delivery should consist of cards for the game AFTER the next upcoming game, as well as the 3 games after that for a total of 4 games.

For example: If the upcoming game is game #42, the cards that should be delivered on that day should be for games #43, #44, #45 and #46.


Unsold bingo cards from previous games should also be picked up at the same time as delivery, as well as the money from sold bingo cards. The pickup should consist of cards for the last played game, as well as the 3 games before that for a total of 4 games.

For example: If the last game played was game #41, the cards and money that should be picked up on that day should be for games #41, #40, #39 and #38.


[edit] Country Card Delivery

Cards delivered to the Country Outlets are delivered on a monthly basis instead of a weekly or bi-weekly basis. Because of this, Country Card Deliveries may consist of either 4 or 5 weeks worth of games, depending on the month. Country Cards should be delivered the week after City Routes A,B,C,D are delivered, but this can be changed if this week falls too late in the month. The games delivered should be for the month after the current month, and should be delivered a minimum of 2 weeks before the first game of the next month. There should only be one Country Delivery per month.

Country Outlets return their unsold cards and money on a monthly basis.
